Shared Services Coordinator

1. POSITION SUMMARY
The Shared Services Coordinator role coordinates installation, maintenance, repair, and replacement of office equipment within client facilities. This position is responsible for timely scheduling of work and coordinating communication, ensuring customer satisfaction and exercising attention to detail.
2. POSITION EXPECTATIONS

  • Analyzes projects and determines necessary labor hours, balancing timely project completion, customer satisfaction, and company budget
  • Assesses each project and distance between client locations; determines the most efficient route for each technician each day and assigns route
  • Generates a daily manifest for each service technician by identifying and coordinating optimally efficient driving routes for projects
  • Makes adjustments to scheduled routes as needed to address urgent situations; communicates changes to service technicians
  • Coordinates communications among management, sales staff, the customer service team, service technicians, and customers
  • Communicates client needs to service technicians so they can ensure appropriate tools, equipment, etc. are prepared
  • Generates and disseminates project itineraries, including staffing schedules, plotted routes, and other project logistics
  • Acts as primary scheduler for servicing appointments, fielding inbound calls and coordinating outbound communications to all involved parties; ensures that client is informed and prepared with appropriate expectations
  • Monitors any inbound shipments and maintains the scheduled target dates for all customers
  • Acknowledges all open purchase orders within the prescribed time per department protocols
  • Reviews and processes vendor acknowledgments and makes adjustments as needed
  • Coordinates follow up with all parties to ensure servicing is complete and punch list items are appropriately entered
  • Processes orders according to company standards to ensure a smooth transition to the billing process
  • Maintains customer confidence and protects operations by keeping information confidential
  • Maintains a safe and clean working environment by complying with policies, procedures, and regulations
  • Other duties as assigned
3. SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.

4. MINIMUM QUALIFICATIONS & SKILLS

Education, Certifications and /or Licenses:

  • High school diploma or equivalent

Experience:

  • 3 years’ experience in a customer service role
  • 1 year’s experience in a logistics coordination or manifest generation role preferred
  • 1 year’s experience creating staffing schedules preferred
  • Experience in commercial furniture industry a plus
  • Experience with ECI DDMS+ software a plus


Knowledge/Skills:

  • Knowledge of the general DMV area
  • Ability to adapt quickly to evolving situations
  • Ability to work effectively in a fast-paced environment
  • Possesses good judgement and effectively applies it
  • Possesses strong organizational skills and attention to detail
  • Possesses practical math skills for basic business applications
  • Proficiency with PCs and basic computer software, including MS Office Suite
  • Possesses consistent access to reliable transportation that can accommodate assigned work schedule
  • Ability to pass company drug and background check screenings
  • Ability to adhere to all company safety policies
  • Excellent presentation, listening, verbal, and written communication skills

5. PHYSICAL DEMANDS

While performing the duties of this job, the associate may be required to do the following:

  • Perform activities such as balance, bend/stoop, crouch, kneel, push/pull, reach, or squat

6. WORKING CONDITIONS AND ENVIRONMENT

This position primarily works in an indoor office environment. The noise level in the work environment is usually low to moderate.

7. COMPENSATION

  • Wage range: $50,000 - $55,000 per year, paid on a biweekly basis
