Job Summary:

The Shipping Documentation & Operations Coordinator is responsible for managing all shipping and export–import documentation, ensuring smooth coordination between internal teams, banks, customs, and external logistics partners. The role involves handling shipment paperwork, verifying compliance with regulations, and supporting daily operational activities to ensure efficient and timely delivery of goods.

Key Responsibilities:

  • Prepare, verify, and manage all shipping and export–import documentation (e.g., invoices, packing lists, bills of lading, certificates of origin, bank documents, etc.).
  • Coordinate with freight forwarders, shipping lines, customs brokers, and clearing agents to ensure timely movement of shipments.
  • Manage bank-related shipping documents such as Letters of Credit (LC), collection documents, and other financial correspondence.
  • Track shipment status and proactively communicate updates to relevant stakeholders.
  • Ensure all documentation complies with legal, banking, and company requirements.
  • Maintain accurate filing systems for shipment records and documentation.
  • Coordinate with internal departments (Sales, Accounts, Procurement) to gather required shipping details.
  • Support in preparing reports, shipment schedules, and documentation audits.
  • Assist in resolving shipment or documentation discrepancies.
  • Contribute to continuous process improvements within the logistics and documentation workflow.

Requirements:

  • Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or a related field.
  • 3–5 years of experience in shipping, logistics, or export–import documentation.
  • Strong knowledge of international shipping procedures, incoterms, and banking documentation.
  • Excellent attention to detail and organizational skills.
  • Proficiency in MS Office and ERP/logistics software.
  • Strong communication and coordination abilities.
  • Ability to work under pressure and manage multiple shipments simultaneously.

Job Timing: (9am-6pm)
