Site Document Controller
Job Summary
The Site Document Controller is responsible for managing, organizing, and maintaining all project documentation at the site level. This role ensures that accurate, up-to-date documents are available to project teams, subcontractors, and clients in compliance with company procedures and project requirements.
Key Responsibilities

Control, track, and maintain all project documentation (drawings, technical documents, correspondence, RFIs, submittals, method statements, etc.).

Ensure correct version control, numbering, and filing of documents (hard copy and electronic).

Receive, register, distribute, and archive incoming and outgoing documents.

Coordinate with engineers, consultants, contractors, and subcontractors regarding document submissions and approvals.

Maintain document control logs, registers, and transmittals.

Ensure documents are compliant with company standards and project document control procedures.

Support audits by ensuring document traceability and completeness.

Maintain confidentiality and data integrity of project documents.

Assist project teams with document retrieval and reporting when required.

Monitor document submission deadlines and follow up on pending approvals.
Qualifications & Experience

Diploma or Bachelor’s degree in Business Administration, Engineering, or a related field (preferred).

2–5 years of experience as a Document Controller, preferably on construction or engineering projects.

Experience working on-site is an advantage.
Skills & Competencies

Strong organizational and time-management skills.

High attention to detail and accuracy.

Proficiency in MS Office (Word, Excel, Outlook).

Experience with Document Management Systems (e.g., Aconex, Procore, SharePoint, EDMS).

Good communication and coordination skills.

Ability to work under pressure and meet deadlines.

Understanding of document control procedures and ISO standards (preferred).
