Position Title: Civil Assistant Project Manager
Department: Project Management/Construction Services
Reports To: Senior Project Manager.
Position Summary: The Civil Assistant Project Manager supports the planning, coordination, and execution of civil engineering and construction projects. This role involves assisting with project management activities, ensuring compliance with specifications and timelines, and facilitating communication between project teams, contractors, and stakeholders.
Key Responsibilities:
Project Support & Coordination Assist in developing project schedules, budgets, and resource allocation plans. Monitor project progress against established timelines and milestones, identifying potential delays or issues early. Coordinate with contractors, subcontractors, and vendors to ensure deliverables meet quality standards and deadlines.
Documentation & Compliance Maintain comprehensive project documentation including contracts, permits, change orders, and progress reports. Ensure all work complies with local building codes, safety regulations, and environmental requirements. Prepare and distribute regular project status updates to stakeholders and management.
Quality Control & Site Management Conduct regular site inspections to verify work quality and adherence to project specifications. Document and track resolution of any deficiencies or non-conformance issues. Assist with safety protocol implementation and incident reporting.
Stakeholder Communication Facilitate communication between internal teams, external contractors, and client representatives. Participate in project meetings, prepare meeting minutes, and follow up on action items. Address project-related inquiries and coordinate responses to stakeholder concerns.
Administrative Functions Process invoices, track project expenses against budgets, and assist with cost reporting. Maintain project filing systems and ensure proper document version control. Support procurement activities including vendor qualification and contract administration.
Required Qualifications: Bachelor's degree in Civil Engineering, Construction Management, or related field. 2-4 years of experience in construction or civil engineering projects. Proficiency in project management software (MS Project, Primavera) and Microsoft Office Suite. Strong understanding of construction processes, materials, and methods.
Preferred Qualifications: Project Management Professional (PMP) certification or equivalent. Experience with AutoCAD, BIM software, or other engineering design tools. Previous experience in commercial real estate or infrastructure projects. Knowledge of local building codes and permitting processes.

Ability to work effectively in fast-paced, deadline-driven environments. Collaborative approach with ability to work across diverse project teams.
