KEY RESPONSIBILITIES

Plan, coordinate, and support the delivery of assigned Noatum Ports events, exhibitions, sponsorships, and marketing activities from planning to completion.

Coordinate with internal stakeholders, external suppliers, event organizers, and business units to ensure all event requirements are delivered on time and within approved budget.

Maintain an updated global events calendar covering upcoming events, exhibitions, sponsorships, participation status, key deadlines, and assigned actions.

Prepare post-event summary reports covering key highlights, costs, logistics feedback, supplier performance, challenges, and improvement recommendations.

Monitor event budgets, timelines, logistics, and delivery risks, and escalate any budget variances, delays, or issues to the team leader in a timely manner.

Coordinate the production of marketing collateral, giveaways, branded materials, brochures, banners, and other communication assets as required.

Ensure all marketing collateral and branded materials are reviewed and approved by the brand team before printing, production, or external use.

Support supplier sourcing by obtaining required quotations, preparing supplier comparisons, and maintaining a clear record of supplier selection rationale.

Coordinate the registration of new suppliers in the AD Ports Group procurement system before initiating any purchase order or service request.

Process purchase orders, vendor payment requests, invoices, and related procurement documentation in line with approved internal timelines and complete requester information.

Maintain a live tracker of open purchase orders, pending approvals, payment requests, supplier invoices, and procurement status updates.

Review open purchase orders on a monthly basis and escalate overdue items, delays, or pending approvals to the team leader within the required timeframe.

Track marketing collateral and event-related spending on a quarterly basis using an organized Excel-based format and report updates to the team leader.

Coordinate website content updates by providing complete, accurate, and timely written content, images, and required information to the assigned web developer and relevant team members.

Maintain organized and up-to-date digital asset folders for marketing materials, event files, brand assets, photos, videos, reports, and shared working documents, including regular monthly folder clean-ups.
KNOWLEDGE & SKILLS
Educational and Technical Qualifications:

Bachelor’s degree in business administration, Marketing, Communication, or a related field.
Language Skills:
-
Excellent command of English (written and verbal) — mandatory.

Arabic language skills are required.
Years of Experience:
-
Minimum 2–4 years of experience in a marketing, communications, administrative, or events coordination role.
Nature of Experience:
-
Demonstrated experience in event coordination and logistics management.
-
Practical knowledge of procurement processes, supplier management, and purchase order systems.
-
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) — Excel skills at intermediate level or above are essential.

Strong organizational skills with attention to detail and ability to manage multiple tasks simultaneously.

Experience supporting digital marketing and website administration tasks is an advantage.
-
Familiarity with AD Ports Group procurement and financial governance processes is preferred.
