Job Summary:

Based in the Department of Anatomic Pathology Program Admin, the Supervisor of Department Support provides leadership support and supervisor oversight to the department and program leadership team for administrative and program office operations.

Position Highlights:

  • Acts as the primary contact to support daily operations.
  • Provides day-to-day oversight of activities within the program/division, to include hiring, operational orientations and performance appraisals; assists the administrator with efficiency and re-engineering studies; and other projects as necessary.

Responsibilities:

  • Supervises administrative staff and provides oversight and coordination of administrative activities within the Program/Division office to enhance workflow and office coverage, and to ensure high standards of support staff work performance.
  • Provides administrative and project support, including the planning and development of departmental and organizational initiatives. Supports the Department Chair and Administrators with project management activities such as information gathering, reporting results, and tracking metrics and status.
  • Collaborates with the Departments Division Administrator to ensure program staff, including Moffitt and USF employees assigned to the program, comply with work rules, safety requirements and policies and procedures related to licensure and work environment as applicable
  • Provides support for the computation and submission of payroll reports and status change forms for Department staff. Approves KRONOS timekeeping reports and serves as backup payroll support.
  • Supports departmental physician recruitment; serves as liaison with HR to communicate faculty availability and coordinate candidate interviews and presentations.
  • Manages onboarding new Faculty and APP Providers in partnership with Program Management/Executive Assistants. Coordinates efforts related to Fellowship Program, including recruitment, onboarding, and related activities.
  • Assist or designate assistance for Faculty and APP staff to prepare all paperwork needed for mid-levels for state regulations, including their Prescriptive Privileges package.
  • Works closely with other members of Moffitt Clinic and Moffitt Medical Group Administration to ensure the coordinated operation of the Program offices.
  • Plans, coordinates and completes arrangements, with approval of Departments Division Administrator, for the efficient use of faculty or staff office space, furniture, computer and telecommunications equipment needs.
  • Planning and Development of various projects, initiatives, process improvement training, and other departmental and organizational activities.

Minimum Credentials and Qualifications:

  • Bachelor's degree in healthcare, business, finance social work, Psychology or other related field with minimum five (5) years' relevant experience in an office, academic or healthcare setting, with one (1) year demonstrated supervisory/leadership or project management, training development or process improvement experience.
  • In lieu of a bachelor's degree, an associate degree with an additional 2 years of relevant experience for a total of 7 years of relevant experience as outlined above may be considered or high school diploma or equivalent with an additional 4 years of relevant experience for a total of 9 years of experience may be considered.
  • Knowledge of medical office processes and workflows and advanced MS Office applications, i.e. Word, Excel, Outlook.
  • Familiarity with medical terminology and office organizational procedures.
  • Familiarity with human resource, training development, and process Improvement training.
  • Excellent verbal and written communication skills; excellent problem-solving skills; familiarity with medical terminology and office organizational procedures; ability to communicate, interpret and apply instructions to assigned activities.
  • Able to work independently with little instruction and handle confidential information.
  • Mentoring administrative team and acting as team representative both internally and externally.
