POSITION SUMMARY
The Senior Executive Assistant is a trusted partner to the CEO, serving as the operational backbone of the Executive Office. This role goes far beyond traditional administrative support, it requires someone who thinks strategically, communicates with precision, and operates with a high degree of professionalism and discretion. You will be the connective tissue between the executive team and the broader organization, ensuring that nothing falls through the cracks and that the CEO is always positioned to lead at their highest level. This is a role for someone who understands that supporting executives is itself a valuable and strategic function.

OBJECTIVES
Executive & Calendar Management
- Own and manage the CEO calendar, proactively resolving conflicts and prioritizing based on organizational goals
- Serve as a decisive gatekeeper for meeting requests — approving, declining, or redirecting based on executive priorities, not just availability
- Manage complex domestic and international travel logistics from end to end, including itineraries, contingencies, and expense reporting
Meeting & Project Support
- Prepare agendas, briefing documents, and presentations that allow executives to walk into every room ready
- Take clear, structured notes during executive meetings; own action item tracking and follow-through across stakeholders
- Manage the personal/household operations including house manager oversight, vendor communications, and project tracking
Stakeholder Engagement & Communication
- Act as a professional, personable, and credible representative of the CEO, and Cardone Ventures in all interactions — internal and external
- Serve as a communication bridge across departments and leadership levels, proactively surfacing what needs executive attention and keeping projects moving
- Build genuine, trust-based relationships with key stakeholders that reflect the standards of the Executive Office
Systems, Processes & Operations
- Maintain organized, up-to-date digital files, databases, and project records
- Write, document, and continuously improve processes for your own scope of responsibilities
- Monitor executive inboxes and communications, flagging priority items and drafting responses as needed
Personal & Administrative Support
- Ensure all expense reporting is completed accurately and on time
- Manage personal assistant duties for the executives as needed, including supply ordering, scheduling, and ad hoc requests

- Represents the Executive Office with poise, maturity, and credibility in every interaction, at every level
- Maintains airtight systems for calendars, files, projects, and communications; nothing slips, nothing is sloppy
- Anticipates needs before they're voiced; surfaces problems early and arrives with solutions, not just status updates
- Builds and improves processes that create consistency and scale across the Executive Office
- Communicates clearly and concisely across all levels; ensures the right people have the right information at the right time
- Handles sensitive personal and professional information with complete maturity and confidentiality
- Seamlessly shifts between strategic projects and personal support tasks; stays composed when priorities change quickly
- Applies rigorous prioritization and urgency awareness to protect the executive's time and attention
- Proficient in productivity tools and presentation software, with the ability to build and maintain organized digital systems
EDUCATION AND EXPERIENCE
- 5+ years of experience as an Executive Assistant supporting a Founder, CEO, or C-suite executive in a fast-paced environment
- Must possess a valid/active driver's license and a functioning vehicle
- Experience being available outside of standard business hours, including evenings, weekends, and time-sensitive situations as needed
