Staff Accountant

Location: Plainville, MA
Job Type: Full-Time, On-Site | Exempt
Reports To: Owner and Outsourced Controller/CFO

Position Overview

We are seeking a detail-oriented Staff Accountant to support the financial operations of our growing construction company. This role works collaboratively with another accounting team member and reports directly to company leadership and our outsourced Controller/CFO.

The position supports day-to-day accounting operations, construction compliance requirements, payroll coordination, and administrative financial functions. This is a hands-on role in a fast-paced environment with exposure to job costing, vendor management, payroll support, and financial reporting.

This position plays a critical and collaborative role in ensuring timely and accurate financial operations by working directly with company leadership. The role does not operate independently over the full accounting function.

Core Responsibilities

Accounts Payable & Cash Management

  • Process and code vendor invoices down to the job
  • Manage regular and recurring AP cycles
  • Print and process AP checks; mark bills paid
  • Perform vendor statement reconciliations monthly
  • Process ACH payments and credit card transactions
  • Perform WEX card reconciliations and postings
  • Make daily bank deposits and pull monthly bank statements
  • Assist with collections calls
  • Set up and process loan payments monthly
  • Maintain accurate payment documentation and filing
  • Monitor accounting inbox along with timely and clear communication with vendors

Payroll & Employee Support

  • Review and finalize daily timesheets
  • Process payroll reimbursements
  • Assist with onboarding employees
  • Maintain payroll-related documentation
  • Assist with processing CORI checks
  • Assist with unemployment claims
  • Coordinate benefits updates as needed

Construction Compliance & Operations

  • Review and monitor upcoming expiring Certificates of Insurance (COIs)
  • Maintain vehicle tracking files
  • Support out-of-state job documentation
  • Complete credit applications and tax exemption forms as needed
  • Assist with insurance claims and related issues
  • Maintain ongoing job and compliance filing

Financial Reporting & Controls

  • Support month-end closing activities
  • Maintain organized accounting records
  • Assist in enforcing internal controls and company policies
  • Collaborate with outsourced Controller/CFO on reporting needs

Administrative & Operational Support

  • Order office supplies
  • Coordinate hotel bookings
  • Support employee engagement initiatives (outings, birthday cards)
  • Assist with company newsletter

Qualifications

  • 5+ years of accounting experience (construction industry strongly preferred)
  • Experience with accounts payable, bank reconciliations, and payroll support
  • Understanding of job-related documentation and compliance requirements
  • Strong proficiency in Microsoft Excel and accounting software
  • High attention to detail and strong organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional communication skills and ability to work directly with leadership
  • Bachelor’s degree in Accounting, Finance, or related field preferred, or equivalent work experience.
  • Ability to commute to Plainville, MA
  • Experience with Procore, NetSuite, Trayd or similar platforms is a plus, but not required

Working Conditions

This position is primarily performed in an office environment and requires prolonged periods of sitting, computer use, and occasional lifting of office materials up to 25 lbs. Occasional visits to banks may be required.

Compensation & Benefits

Salary Range: $65,000 – $75,000 annually (based on experience)
