Job Title: Stock Auditor

Department: Audit Department
Reports To: Audit Manager / Head of Audit
Location: Head Office & Warehouse

Job Summary:

The Stock Auditor is responsible for conducting accurate physical verification of inventory, ensuring reconciliation with system records, identifying discrepancies, and recommending corrective actions. The role involves continuous monitoring of stock movements, verification of internal controls, and reporting of findings to ensure transparency, accuracy, and compliance within the organization’s inventory management processes.

Key Responsibilities:

Physical Verification:
Conduct regular and surprise physical counts of inventory at warehouses, showrooms, and storage locations to verify actual stock on hand.

Reconciliation:
Compare physical stock counts with system/ERP and book records; identify variances and coordinate with relevant departments to rectify differences.

Discrepancy Investigation:
Analyze causes of stock discrepancies (e.g., damage, theft, misplacement, or system errors) and recommend corrective measures.

Stock Valuation & Adjustment:
Verify and adjust stock records to reflect accurate values; oversee write-offs for obsolete, slow-moving, or damaged items.

Reporting:
Prepare comprehensive audit reports highlighting findings, variances, root causes, trends, and recommendations for process improvement.

Process Review & Improvement:
Evaluate existing stock management and control procedures; propose practical improvements to enhance accuracy and minimize shrinkage or pilferage.

Coordination:
Work closely with the warehouse, imports, sales, accounts, and ERP teams to verify transaction accuracy and resolve discrepancies promptly.

Internal Controls & Compliance:
Ensure all stock movements comply with company policies, SOPs, and internal control frameworks. Identify and report any control gaps or non-compliance.

Cycle Counts & Periodic Audits:
Plan and conduct regular cycle counts and full physical audits (monthly, quarterly, or annually as scheduled).

Training & Guidance:
Provide guidance to warehouse and store staff on correct counting procedures, documentation, and record-keeping practices.

Monitoring & Analysis:
Monitor inventory turnover ratios, identify slow-moving or obsolete stock, and assist in forecasting and optimization of stock levels.

Documentation & Recordkeeping:
Maintain detailed records of all audit activities, reports, and supporting documentation to ensure traceability and transparency.

Fraud Detection & Risk Assessment:
Identify unusual stock movement patterns or high-risk areas; escalate potential fraud or control violations to the Audit Manager for further review.

Required Skills & Competencies:

Strong attention to detail and high level of accuracy

Excellent analytical and problem-solving abilities

Proficiency in ERP / inventory management systems (preferably SAP B1)

Solid understanding of inventory accounting principles

Strong communication and coordination skills

High integrity, ethical conduct, and sense of accountability

Effective time management and organizational skills

Ability to work independently and within cross-functional teams

Basic mathematical and statistical analysis skills

Qualifications & Experience:

Education: ACCA, BBA, or MBA in Accounting & Finance (or equivalent)

Experience: 3–4 years of relevant experience in auditing, stock control, or inventory management

Additional Advantage: Understanding of internal audit standards, inventory control frameworks, and stock audit certifications
