Job Objectives


To perform a wide variety of responsible secretarial, administrative support and clerical duties for either an assigned school or department and associated staff; to function as office manager in organizing and completing complex projects necessary to the operation of the department; to maintain a variety of files and records; to manage multiple budgets administered through the department; to manage staff payroll and payment of contracts for multiple staff in a variety of positions who provide support to students; to manage calendars and timelines necessary to the function of the department; to prepare correspondence, letters, memoranda and reports; to provide information and assistance to the public; and to perform a variety of tasks relative to assigned area of responsibility.

SUPERVISION RECEIVED AND EXERCISED

Receives direction and general supervision from Coordinator of Student Services.

ESSENTIAL FUNCTION STATEMENTS

The following tasks are typical for positions in this classification. Any single position may not perform all of these tasks and/or may perform similar related tasks not listed here:

  • Function as an office manager to coordinate completion of complex tasks assigned to the department which includes researching a variety of options and preparing reports, organizing all aspects of training and event preparation, arrange for personal training in district systems as needed; have an understanding of all operations of the department and be able to perform the functions of other clerical staff in the event of their absence.
  • Maintain a calendar of activities and appointments for the area of assignment; set up and coordinate meetings, appointments and various events; distribute yearly calendars for meetings as appropriate.
  • Screen office and telephone callers; respond to complaints and requests from the general public; take messages or forward calls to appropriate staff.
  • Under supervision support the appropriate budget for Student Services. Prepare requisitions from appropriate budgets. Student Services manages purchasing from multiple operational, referendum, federal and state grant accounts.
  • Respond to and assist with questions from the public in relation to the operation of Student Services.
  • Maintain accurate records, files and logs as requested by the Coordinator of Student Services.
  • Prepare and manage work orders for the department.
  • Maintain a working and proficient knowledge of applicable Los Alamos Public Schools (LAPS) software programs
  • Operate within applicable state laws and New Mexico Department of Public Education rules and regulations as well as LAPS School Board policies and regulations
  • Cross train with other Student Services support staff and function as a member of the Student Services team.

QUALIFICATION REQUIREMENTS:

  • To perform this job successfully, the candidate must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.

EDUCATION and EXPERIENCE:

  • Minimum High School Diploma or Equivalency
  • Three Years (3) administrative or secretarial experience is preferred

LANGUAGE SKILLS:

  • Ability to read and write in English
  • Ability to respond to common inquiries or complaints from community, regulatory agencies, or members of staff

MATHEMATICAL SKILLS:

  • Ability to perform basic mathematical computations such as adding, subtracting, multiplication and division
  • Ability to apply concepts of basic mathematical skills

REASONING ABILITY:

  • Ability to define problems, collects data, establish facts, and draw valid conclusions
  • Ability to gather information as directed

OTHER SKILLS and ABILITIES:

  • Ability to establish and maintain effective working relationships with students, staff and community.
  • Ability to communicate clearly and concisely both in oral and written form.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies
  • Involves responding to changing technology

The noise level in this environment is quiet to loud depending upon the activity in the part of the day. This is a busy environment with multiple adults coming in and out of the work space.
