Key ResponsibilitiesInventory & Warehouse Management
- Track, update, and reconcile frozen food inventory across multiple warehouses and cold storage facilities.
- Prepare inventory aging reports and present to the sales team to support decision-making.
- Coordinate with warehouses and third-party logistics providers (3PLs) to manage stock, prevent shortages/overstocking, and ensure FIFO rotation.
- Maintain strict control of inbound and outbound freight to meet customer and internal demand.
- Plan warehouse space allocation considering product turnover, temperature requirements, size, and weight.
- Identify discrepancies in records, investigate causes of lost or damaged shipments, and implement corrective actions.
Transportation & Logistics Coordination
- Coordinate the transportation and delivery of import containers, truckload (FTL), and less-than-truckload (LTL) shipments.
- Work with carriers, freight forwarders, customs brokers, and warehouses to ensure timely, cost-effective movement of goods.
- Monitor and track shipments, resolve delays, and ensure compliance with U.S. import regulations.
- Schedule, confirm, and reschedule warehouse appointments, communicating changes to all stakeholders.
- Re-route shipments or trucks in response to delays, accidents, or unforeseen issues.
- Negotiate contracts with transportation companies when needed.
Documentation & Compliance
- Prepare and manage all shipping and customs documentation (Bills of Lading, invoices, packing lists, customs filings).
- Assist in trade contract execution and follow-up to ensure accurate fulfillment and delivery.
- Ensure all documentation complies with U.S. regulatory and company requirements.
Cross-Functional Communication & Reporting
- Serve as the primary liaison between sales, operations, suppliers, warehouses, carriers, and customs brokers.
- Provide accurate shipment tracking updates and inventory status to internal teams.
- Generate regular reports for sales, supply chain, and executive teams highlighting delays, risks, and operational updates.
- Resolve customer and supplier issues that arise during the logistics or trading process.
What We’re Looking For
- 3+ years of logistics/supply chain experience in frozen food, seafood, produce, grain, or perishable imports.
- North American (U.S. or Canada) experience required (direct work or support role).
- Strong knowledge of import/export logistics, customs, warehousing, and FTL/LTL trucking.
- Excellent multitasking, problem-solving, and communication skills.
- Proficiency in ERP/inventory systems and Microsoft Excel.
- Must be able to work U.S. time zones (EST/CST) consistently.
