Technical Records Specialist 1 - CYFS

The Division of Children, Youth and Family Services has an exciting employment opportunity for a full-time Technical Records Specialist 1 (TRS) with the 2-1-1 Idaho Careline at our Westgate office in Boise . The 2-1-1 Idaho Careline, a free statewide community Information and Referral service, is available to link Idahoans with health or human service providers and programs. This position will perform specialized support work involving an extensive in-depth knowledge of the program and system. The TRS 1 position requires a distinctive skill set: the candidate must have the ability to think critically through challenging social service needs, systemic issues, and the technology needs of a call center.

We are a dedicated team looking for someone with the right skills who wants to join us in making a difference. Applicants who have previous telephone customer support, experience handling complaints, and providing solutions are encouraged to apply. The ability to fluently read, write, and speak both Spanish and English is preferred. The candidate must also possess the skills and knowledge to manage difficult problem-solving calls that provide solutions to customers. The candidate must interpret and explain requirements, processes, and procedures to others, and may regularly track, execute, and review various reports and statements.

EXAMPLE OF DUTIES:

  • Conduct telephone interviews to determine customers' requests and needs
  • Provide specialized information about agency programs and services
  • Research and interpret rules, laws, and technical information
  • Clarify, explain, and resolve complex, varied and sometimes controversial and/or volatile issues
  • Work cooperatively with staff from their own units and other divisions
  • Answer phones, screen and channel calls
  • Complete forms with required information
  • Maintain record keeping systems by adding deleting, or updating information
  • Possess extensive knowledge of department programs and objectives
  • Prepare reports which may include correspondence, trackers, spread sheets, reports and special projects
  • Communicating with internal and external customers, which requires good public relations skills

MINIMUM QUALIFICATIONS:

You must possess all the minimum qualifications below to pass the exam for this position. It is highly recommended to attach a one-page cover letter to your application to demonstrate how you meet the requirements below.

  • Experience monitoring a records system to identify and correct errors. Typically gained by one year of full-time work experience.
  • Experience researching a variety of sources to resolve problems. Typically gained by one year of full-time work experience.
  • Experience interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments. These complex decisions could have affected the social or economic well-being of others or would result in a service or action being denied. Typically gained by one year of work experience.
  • Experience entering and retrieving data using a computerized records system. Typically gained by six months of work experience.

SPECIALTY MINIMUM QUALIFICATIONS:

  • Experience using word processing software to create and modify documents. Typically gained by six months of work experience.

Below is preferred experience. It is not required for the position but applicants with this experience may receive consideration over other applicants.

  • Demonstrated work experience interacting with customers via telephone and/or in person. Typically gained by 6 months of work experience assisting the public.
  • Demonstrated work experience obtaining and safeguarding confidential information. Typically gained by 6 months of work experience assisting the public.
  • Demonstrated time management and communication skills. Typically gained by 6 months working in an office or educational setting.
  • The ability to speak, read and write Spanish and English fluently. Applicants may be asked to complete an assessment to confirm fluency.
