Tender Coordinator – Unregistered Items

About the Role:
We are seeking a meticulous and proactive Tender Coordinator with expertise in unregistered pharmaceutical and medical items to join our dynamic team. The ideal candidate will manage tender submissions, coordinate with suppliers, ensure compliance with UAE regulations, and support business growth through accurate sourcing and pricing strategies.

Key Responsibilities:

Tender & Portal Management

  • Monitor UAE government tender portals daily (Rafed, Pure Health, Tejari, Cleveland, MOF).
  • Identify opportunities for unregistered items and ensure timely submission of tenders.

Quotation & Pricing

  • Prepare and submit accurate quotations for unregistered products.
  • Coordinate with suppliers for competitive pricing, delivery terms, and margin optimization.
  • Ensure all quotations include VAT, logistics, and profitability considerations.

Sourcing & Coordination

  • Liaise with international and local suppliers to source urgent unregistered products.
  • Negotiate favorable terms while ensuring regulatory compliance.
  • Coordinate with the supply chain for shipping, import permits, Tatmeen serialization, and delivery.

Documentation & Compliance

  • Manage all required documentation, including COA, FSC, GMP, invoices, and packing lists.
  • Ensure full compliance with MOHAP/EDE regulations and Tatmeen serialization requirements.

Account & Internal Support

  • Support the sales and business development team in building strong hospital account relations.
  • Provide regular reports on tender performance, success ratios, and profitability.
  • Maintain updated records of suppliers, accounts, and product opportunities.

Key Requirements:

Education:

  • Bachelor’s degree in Pharmacy, Business Administration, or a related field.
  • Pharmacy background preferred to understand regulatory and sourcing requirements.

Experience:

  • 2–4 years’ experience in UAE pharmaceutical tenders and handling unregistered products.
  • Familiarity with government portals: MOHAP/EDE, Rafed, UPP, Tejari, Pure Health, Cleveland, SEHA, EHS.
  • Proven track record in managing quotations and sourcing unregistered items.

Skills & Knowledge:

  • Strong knowledge of tender processes for unregistered pharmaceuticals and medical items.
  • Ability to source and negotiate with local distributors and international suppliers.
  • Understanding of import permits, COA, invoices, GMP/FSC documents.
  • Familiarity with Tatmeen system: serialization requirements, supplier coordination, compliance for imported unregistered products.
  • Excellent at preparing costing sheets, quotations, and profitability analysis.
  • Proficient in Excel, PowerPoint, and online tender platforms.
  • Strong English communication skills; Arabic is a plus.
