Tender & Costing Specialist

POSITION OVERVIEW

The Tender & Costing Specialist is responsible for managing the full lifecycle of tender activities, from monitoring procurement platforms and sourcing vendor pricing to preparing competitive quotations and maintaining accurate records. This role requires a strong attention to detail, solid IT knowledge, and the ability to manage multiple tenders simultaneously.

KEY RESPONSIBILITIES

  • Monitor and maintain all tender platforms, ensuring timely access to new opportunities and compliance with submission deadlines.
  • Contact vendors to obtain pricing, confirm product availability, and clarify delivery timelines and logistics.
  • Liaise with clients to obtain clarifications, respond to technical queries, and coordinate the receipt of Local Purchase Orders (LPOs) in line with agreed terms and conditions.
  • Prepare, review, and submit professional quotations through the eTendering portal and any other relevant procurement portals.
  • Maintain a comprehensive filing system for all tender-related documentation, company credentials, and legal papers; track expiry dates and initiate renewals proactively.
  • Manage and regularly update the vendor and supplier database, including contact details, product categories, and performance records.
  • Conduct market research on competitors and industry contractors; review and benchmark terms and conditions to ensure the company's offers remain competitive.
  • Maintain a detailed project tracker for all submitted tenders, recording submission status, awarded contracts, margins, and any failed bids with analysis.
  • Safeguard and manage login credentials for all procurement and tendering platforms, ensuring secure and uninterrupted access.

QUALIFICATIONS & REQUIREMENTS

Education: Bachelor's degree in Business Administration, Information Technology, or a related field.

Experience: Minimum 1–2 years of experience in tendering, procurement, or a similar role.

  • Solid background and working knowledge in the IT or technology services field.
  • Excellent written and verbal communication skills in both Arabic and English.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer applications.
  • High level of accuracy, organisational ability, and the capacity to manage multiple deadlines.
  • Familiarity with government or corporate eTendering platforms is a strong advantage.

Job Type: Full-time

Pay: E£10,000.00 - E£13,000.00 per month
