Tender Manager (Fit Out)

Job description:

Key Responsibilities:

  • Tender Management:
  • Lead and oversee the entire tender process for fit-out projects, ensuring all requirements and specifications are met.
  • Review tender documents, scope of work, and contract conditions to assess project feasibility and prepare a winning bid.
  • Coordinate with internal teams (design, procurement, construction) to gather the necessary data and inputs for tender submissions.
  • Prepare tender clarifications, negotiate terms and conditions, and provide recommendations to senior management.
  • Estimation and Costing:
  • Prepare detailed cost estimates for fit-out projects, considering materials, labor, and overheads.
  • Analyze project specifications, drawings, and contract documents to accurately assess project costs.
  • Collaborate with suppliers, subcontractors, and vendors to obtain quotes and incorporate into the cost estimate.
  • Provide accurate and detailed cost breakdowns, ensuring that all potential cost drivers are considered.
  • Project Risk and Feasibility Assessment:
  • Identify potential risks and opportunities within the tender process and provide strategies to mitigate risks.
  • Assess project feasibility in terms of cost, schedule, and scope, providing recommendations for alternative solutions when necessary.
  • Work closely with the project management team to ensure that estimates align with the project execution strategy.
  • Bid Preparation and Documentation:
  • Develop comprehensive tender submission documents that align with client requirements and company standards.
  • Coordinate with the marketing and business development teams to ensure consistency in branding and presentation of bids.
  • Prepare technical and commercial proposals, including all necessary documentation, ensuring compliance with the client’s requirements.
  • Stakeholder Management:
  • Build and maintain strong relationships with clients, subcontractors, suppliers, and consultants.
  • Work with the procurement team to identify suitable subcontractors and suppliers for project bids.
  • Collaborate with internal stakeholders to ensure that all tender and estimation processes are aligned with company objectives.
  • Post-Tender Activities:
  • Participate in post-tender negotiations and award discussions to ensure project profitability.
  • Provide support during the project handover, ensuring that cost estimates align with actual project requirements.
  • Continuous Improvement:
  • Review and evaluate tender and estimation processes regularly to identify areas for improvement and efficiency gains.
  • Keep up-to-date with market trends, new technologies, and materials to improve accuracy in cost estimation.

Required Qualifications and Skills:

  • Education: Bachelor's degree in Civil Engineering, Quantity Surveying, Construction Management, or a related field. Postgraduate qualifications or certifications in estimation and tendering are a plus.
  • Experience: Minimum of 10 years of experience in tendering and estimation, with a focus on fit-out projects in the GCC region.
  • Expertise:
  • Proven track record in managing large-scale fit-out projects.
  • In-depth knowledge of local regulations, construction standards, and procurement procedures within the GCC.
  • Strong understanding of cost management, project budgets, and financial analysis.
  • Excellent negotiation, presentation, and communication skills.
  • Software Skills: Proficiency in estimation software (e.g., Candy, WinQS, CostX), MS Excel, and other relevant construction management tools.
  • Leadership: Strong leadership and team management skills, with the ability to collaborate effectively across multiple teams and stakeholders.
  • Languages: Proficiency in English is mandatory; Arabic language skills are advantageous.
