Tendering Executive

The Tendering Executive will play a pivotal role in managing tender processes, ensuring compliance with all requirements, and contributing to the company’s growth by securing competitive bids. A strong working knowledge of ERP systems is essential for this role.

The ideal candidate will have excellent organizational, analytical, and communication skills, with proven experience in tendering or bid management, preferably within the real estate developers or construction industry.

Duties & Responsibilities:

  • Collaborate with the Project Management team to obtain necessary tender packages through the ERP system.
  • Review and analyze tender documents to ensure all required information and documentation are available for issuance to bidders.
  • Utilize the ERP system to identify qualified vendors capable of fulfilling the required scope of work.
  • Cross-check vendor prequalification and submitted documents to ensure alignment with project specifications.
  • Prepare and issue RFQ in the ERP system in accordance with standard procedures and guidelines.
  • Distribute the RFQ to appropriate bidders via the ERP portal.
  • Maintain clear and effective communication with bidders to confirm receipt of tender documents and obtain email acknowledgment.
  • Provide guidance to bidders on accessing the portal, downloading tender documents, and submitting queries and bids.
  • Process and respond to tender queries from bidders, submitting them to the relevant project department for clarification and ensuring timely responses within set timelines.
  • Maintain a detailed log of tender queries, ensuring all inquiries are addressed within the established timeline.
  • Regularly update the reporting manager on the status of the tender process and communicate relevant information received from bidders.
  • Issue addendums and other official correspondence to bidders as necessary throughout the tender process.
  • Conduct regular follow-ups with bidders to ensure the smooth progression of the bidding process and resolve any issues promptly.
  • Coordinate with bidders to ensure the timely submission of required material samples, reports, and other documentation as per project requirements.
  • Provide bidders with regular updates on the status of their submitted bids.
  • Assist in the preparation of contracts and purchase orders upon the successful completion of the tender process.

Qualifications:

  • Bachelor’s degree in Business Administration, Engineering, or a related field.

Experience:

  • Proven experience in tendering or bid management, preferably within the real estate developers or construction industry.
  • Proficiency in ERP systems with the ability to manage data and generate reports.
