Tow & Repo Dispatcher / Office Administrator

Location: Tulsa / Broken Arrow, OK
Pay: $20 per hour
Schedule: Full-time | Monday–Friday | Day shift

Job Description

We are a licensed, insured towing and repossession company preparing to expand law-enforcement rotation and private property impound operations. We are hiring a Dispatcher / Office Administrator to handle inbound calls, dispatch drivers, manage public releases, and keep the operation compliant and profitable.

This role is critical to keeping calls answered, paperwork clean, and revenue flowing.

Core Responsibilities

Dispatch & Call Handling

  • Answer all incoming calls (public, property managers, lenders, law enforcement)
  • Dispatch tow and repo drivers efficiently
  • Prioritize time-sensitive and law-enforcement calls
  • Track ETAs, call times, and job status
  • Use TowBook for dispatch, job tracking, and documentation

Private Property Impounds & Public Interaction

  • Handle calls from vehicle owners regarding impounds
  • Clearly explain impound rules, fees, and release requirements
  • Coordinate personal property retrieval
  • Ensure no vehicle is released without proper authorization
  • De-escalate upset callers calmly and professionally

Paperwork & Compliance

  • Complete and organize tow, repo, and impound paperwork
  • Maintain photos, inventory, and release documentation
  • Keep records accurate, complete, and audit-ready

Administrative & Revenue Support

  • Assist with payment reminder calls for auto loans and rent during downtime
  • Log payment promises and update account notes
  • Coordinate internally with drivers, shop, and management

What We’re Looking For

Required

  • Strong phone and communication skills
  • Organized, detail-oriented, and dependable
  • Comfortable enforcing rules and saying “no” when required
  • Able to stay calm under pressure
  • Basic computer and data-entry skills

Big Plus

  • TowBook experience
  • Private property impound experience
  • Towing, repo, impound, or dispatcher background
  • High-volume call handling or collections experience
