Vendor Acquisition Specialist —Furniture, Fixtures & Equipment

POSITION SUMMARY

Luxury Hospitality is looking for a fresh, energetic, and highly communicative Vendor Acquisition Specialist to support the identification, evaluation, negotiation, and onboarding of FF&E (Furniture, Fixtures & Equipment) and OS&E (Operating Supplies & Equipment) suppliers for our luxury hospitality portfolio. The ideal candidate is a strong communicator with excellent closing skills, capable of building rapport with international vendors and driving agreements that support the brand’s commitment to exceptional quality and design integrity.

KEY RESPONSIBILITIES

1. Vendor Sourcing & Acquisition

  • Identify, research, and prospect new FF&E and OS&E suppliers aligned with luxury hospitality standards.
  • Develop and maintain a comprehensive, categorized master vendor list covering all FF&E and OS&E categories (see Appendix).
  • Attend trade shows, design fairs, and supplier showcases (e.g., HD Expo, Maison & Objet, The Hotel Show).
  • Build relationships with manufacturers, artisans, and specialty suppliers for bespoke and custom items.

2. Supplier Closing & Agreement Management

  • Negotiate with vendors to close supply agreements, including pricing, lead times, MOQs, payment terms, and exclusivity clauses.
  • Structure and manage rebate programmes, volume discount tiers, retrospective rebates, and early-payment incentives.
  • Assist in drafting vendor contracts, framework agreements, and service-level agreements (SLAs).
  • Ensure all agreements comply with corporate procurement policies and legal requirements.

3. Vendor Onboarding & Integration

  • Support the end-to-end vendor onboarding process, including due diligence, qualification audits, and compliance verification.
  • Coordinate with Finance, Legal, Design, and Operations teams to integrate new vendors into procurement systems.
  • Develop and maintain vendor onboarding documentation, checklists, and SOPs.
  • Assist in conducting factory and workshop visits to verify production capabilities and quality standards.

4. Vendor Relationship & Performance Management

  • Help establish KPIs and scorecards for vendor performance covering quality, delivery, and responsiveness.
  • Support quarterly business reviews (QBRs) with key strategic vendors.
  • Manage vendor communications and follow up on non-conformance issues and corrective action plans.
  • Drive continuous improvement initiatives with the supply base.

5. Market Intelligence & Category Strategy

  • Monitor market trends, material innovations, pricing fluctuations, and emerging suppliers in the luxury hospitality sector.
  • Benchmark vendor pricing against market standards and competitor procurement practices.
  • Contribute to category strategies for key FF&E and OS&E segments to optimize cost, quality, and supplier diversity.

QUALIFICATIONS & REQUIREMENTS

Education & Experience

  • Bachelor’s degree in Supply Chain Management, Business Administration, Hospitality Management, or a related field.
  • 1–2 years of experience in procurement, vendor management, sourcing, or a commercial/sales-oriented role (internships included).
  • Fresh graduates with strong communication and negotiation potential are encouraged to apply.

Skills & Competencies (Must-Have)

  • Professional-level English proficiency (spoken and written) — MANDATORY, as the role involves daily communication with foreign vendors.
  • Professional-level Microsoft Excel skills (pivot tables, VLOOKUP, data analysis, reporting) — MANDATORY.
  • Strong negotiation and closing skills with the confidence to engage and persuade international suppliers.
  • Excellent verbal and written communication skills with a professional and persuasive demeanour.
  • High attention to detail and strong organizational skills for managing multiple vendor relationships simultaneously.
  • Proactive, self-motivated, and able to work independently with minimal supervision.
  • Ability to build trust and long-term relationships with both internal stakeholders and external vendor partners.

Nice to Have

  • Familiarity with FF&E and OS&E categories in the hospitality or interior design industry.
  • Basic knowledge of procurement platforms or ERP systems (e.g., SAP, Oracle, Coupa).
  • Additional language skills (Arabic, French, or others) are an advantage.
