Vendor Relations Coordinator

Introduction

The Prince William County Office of Procurement Services (OPS) is seeking a skilled matchmaker to lead the county’s vendor engagement efforts and create a robust marketplace that connects agencies to vendors that meet their business needs. The Office of Procurement Services (OPS) manages the acquisition of various supplies, goods, construction services, professional services, and general services through a variety of competitive, fair, and ethical solicitation approaches. OPS delivers approximately $200 million worth of procurement to 37 departments annually.

OPS is focusing on four key initiatives, including developing a robust marketplace that connects agencies to vendors to meet their business needs; modernizing the acquisition process to improve overall customer experience; expanding procurement solutions through strategic and sustainable sourcing; and improving agency contract administration through training, policy development, and vendor performance assessment.

Reporting to the Chief Procurement Officer, the Vendor Relations Coordinator will support the Office of Procurement Services (OPS) mission in promoting vendor engagement to ensure that the County procurement system is understood and transparent to the vendor community. The Vendor Relations Coordinator will assist departments and OPS in developing strategies for engaging potential vendors that can provide the capabilities necessary to achieve agency missions.

Duties and Responsibilities:


  • Evaluate vendor logistical and performance capabilities, establish vendor monitoring and tracking processes, and assess vendor performance using a variety of vendor management strategies (e.g., service level agreements, operational audits, surveys, etc.) to ensure continuous improvement.
  • Evaluate vendor feedback on agency acquisitions, utilize an evaluation tool, and monitor marketplace interest in agency requirements.
  • Monitor agency satisfaction with vendor goods and services. Liaison with the agency to understand needs, recruit vendors, and handle escalated performance claims.
  • Leverage the agency's spend plans to match agencies with vendors. Serve as project manager and host supplier events, including industry days, vendor workshops, and annual procurement expo
  • Source vendors through targeted marketing of solicitations to increase the number of bids per solicitation.
  • Conducts vendor onboarding and provide timely responses to general vendor requests where appropriate, including new vendors.
  • Our top candidate will be a leader experienced in developing and implementing a vendor engagement and outreach program and increasing supplier diversity.
Minimum Requirements:
High School Diploma/GED, 4 years of experience as a vendor relations coordinator or a position with comparable experience.

Preferences:
  • Bachelor’s degree in marketing, Business, Public Administration, or related field
  • 4-5 years of progressively responsible vendor relations experience with knowledge of vendor relations best practices.
  • Knowledge of the current local business community as it pertains to small business economic development.
  • Strong communication (verbal and written) and interpersonal skills.
  • Strong networking and salesperson skills
  • Experience and working knowledge supporting supplier diversity programs
  • Experience in vendor relations automation
  • Advanced in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to exercise strict confidence in handling sensitive information.
  • Ability to relate to a wide variety of people and to observe, listen, motivate, and provide guidance.
  • Ability to work independently, prioritize and manage workload efficiently, and communicate when help is needed.
Work Schedule:
  • Monday- Friday 8:00 am – 4:30 pm for 37.50hrs/wk.
  • Occasional travel may be required for meetings and events.
Hiring Salary Range: $75,000.00 - $95,000.00. In addition to great pay, we also offer excellent benefits, including:
