Job Overview

We are seeking a highly organized, proactive, and tech-savvy Virtual Assistant for our US based clients with strong experience in cold calling, CRM management, social media marketing, and administrative support. The ideal candidate is confident communicating with clients, comfortable presenting over Zoom, and capable of managing multiple tools, platforms, and documentation processes efficiently.

This role requires someone who can combine sales support, marketing coordination, research, and transaction management into one seamless client experience.

Key Responsibilities

Administrative & Operational Support

  • Manage calendars, appointments, and scheduling.
  • Prepare contracts, agreements, and customer documentation.
  • Organize digital files and maintain structured documentation systems.
  • Assist with data entry and document processing.

Lead Generation, Client Communication & Cold Calling

  • Communicate directly with clients to provide updates, schedule meetings, manage follow-ups, and present professionally during virtual meetings via Zoom.
  • Generate and qualify leads, schedule appointments, and maintain accurate CRM records and activity reports.
  • Conduct outbound cold calling on behalf of the client to prospect potential customers, introduce services, and create new business opportunities.

CRM Management

  • Maintain and update CRM systems (such as HubSpot, Salesforce, Zoho CRM, etc.).
  • Enter, organize, and track client data accurately.
  • Create and manage pipelines, tasks, workflows, and automation.
  • Generate performance reports and lead tracking summaries.

Social Media Marketing & Content Creation

  • Create engaging content using Canva.
  • Schedule and manage posts across social media platforms.
  • Develop captions, hashtags, and basic marketing copy.
  • Monitor engagement and respond to messages or comments professionally.
  • Support branding consistency across all channels.

Research & Market Analysis

  • Conduct online research for potential clients, industry trends, and competitors.
  • Identify new business opportunities and partnership leads.
  • Prepare research summaries and presentation-ready documents.

Client Communication & Zoom Presentations

  • Communicate professionally via email, phone, and video conferencing tools such as Zoom.
  • Present services confidently during virtual meetings.
  • Prepare meeting agendas, notes, and follow-up documentation.
  • Build and maintain positive client relationships.

Transaction Coordination

  • Coordinate client transactions from initiation to completion.
  • Track deadlines and ensure all documentation is completed on time.
  • Communicate with stakeholders to ensure smooth processing.
  • Maintain compliance and organized records.

Marketing Automation

  • Set up email campaigns and automation sequences.
  • Create landing pages or simple marketing funnels (if applicable).
  • Track analytics and optimize campaigns for better engagement.

Required Skills & Qualifications

  • Bachelor’s degree in any discipline.
  • Excellent written and verbal communication skills in English.
  • Proven experience as a Virtual Assistant or similar role.
  • Strong cold calling and lead qualification experience.
  • Experience with CRM systems.
  • Proficiency in Canva.
  • Confident in virtual meetings via Zoom.
  • Strong organizational skills, attention to detail, and ability to work independently.

Preferred Qualifications

  • Experience in sales support or transaction coordination.
  • Familiarity with marketing automation and email marketing.
  • Experience managing business social media accounts.

Office Hours: 09:00 PM to 06:00 AM (Monday to Friday)

Office Locations

This position is available at both locations:

Bahria Town Office: Bahria Town Phase-7

Head Office: Chandni Chowk, Rawalpindi.

Job Type: Full-time

Pay: From Rs80,000.00 per month
