Job Title: Virtual Front Office Assistant (Full-Time, Remote)
Position Overview:
We are seeking a highly organized, detail-oriented, and professional Virtual Front Office Assistant to manage day-to-day administrative and front-desk responsibilities in a remote capacity. The ideal candidate will serve as the first point of contact for clients and partners, ensuring smooth communication, efficient scheduling, and exceptional customer service across all channels.
Key Responsibilities:
- Serve as the virtual “front desk,” greeting clients via phone, email, or chat in a courteous and professional manner.
- Manage company inboxes and phone lines; respond to inquiries or route messages to the appropriate departments.
- Schedule and coordinate meetings, appointments, and conference calls using tools such as Google Calendar, Outlook, or Zoom.
- Maintain and update client databases, contact lists, and digital filing systems.
- Support onboarding of new clients or team members by providing necessary information and materials.
- Process and organize incoming documents, invoices, and correspondence.
- Prepare basic reports, meeting minutes, and presentations as requested.
- Collaborate with internal teams to ensure efficient operations and timely task completion.
- Perform other administrative or clerical duties as assigned.
Qualifications:
- Proven experience as a Virtual Assistant, Front Desk Representative, Receptionist, or Administrative Assistant.
- Excellent communication skills (written and verbal).
- Strong organizational and time management abilities.
- Proficient in office software such as Microsoft Office Suite or Google Workspace.
- Comfortable using virtual communication platforms (Zoom, Slack, Teams, etc.).
- Ability to multitask and work independently with minimal supervision.
- Reliable internet connection and a quiet, professional remote work environment.
Preferred Skills:
- Experience with CRM systems (e.g., HubSpot, Salesforce).
- Basic knowledge of bookkeeping or invoicing.
