Job Summary

We are looking for a meticulous and knowledgeable Visa Processing Agent to manage all aspects of visa applications for our diverse client base. The successful candidate will guide clients through the complex visa requirements for various destinations, ensure all documentation is accurate and compliant with embassy regulations, and facilitate timely submissions and approvals. This role is crucial in providing a seamless and stress-free travel experience for our customers.



Key Responsibilities

  • Client Consultation: Conduct initial consultations with clients to determine their specific visa needs, travel intentions, and eligibility for different visa categories (tourist).
  • Documentation Management: Advise clients on required documentation, meticulously review all submitted paperwork for accuracy and completeness, and assist in filling out complex application forms.
  • Regulatory Compliance: Maintain up-to-date knowledge of evolving visa regulations, entry requirements, and processing times for various countries and adapt workflows accordingly.
  • Liaison & Submission: Act as the primary liaison between clients, embassies, consulates, and relevant visa processing centers to submit applications and track their progress.
  • Problem Resolution: Proactively identify potential issues or missing documentation and resolve complex application problems, including addressing refusal queries and re-submissions.
  • Record Keeping: Maintain detailed, confidential, and accurate electronic records of all applications, communications, deadlines, and outcomes within the agency’s CRM system.
  • Customer Service: Provide exceptional customer service, keeping clients informed throughout the processing timeline and managing expectations regarding processing times and outcomes.
  • Process Improvement: Recommend improvements to internal visa processing procedures to increase efficiency and client satisfaction.




Qualifications and Skills

  • Experience: Proven experience (1-2 years minimum) in visa processing, travel administration, or a related role within a travel agency, consulate, or immigration consultancy.
  • Knowledge: Strong understanding of international visa rules, immigration laws, and embassy procedures for major travel destinations.
  • Attention to Detail: Extremely high level of attention to detail and accuracy is essential due to the strict requirements of application documentation.
  • Communication: Excellent written and verbal communication skills; ability to explain complex legalistic requirements clearly and patiently to clients.
  • Organization: Strong organizational and time-management skills with the ability to prioritize tasks and manage multiple client applications simultaneously under tight deadlines.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software or travel booking systems.
  • Language Skills: Proficiency in multiple languages is a plus.
