Job Summary
The Accounts Assistant is responsible for supporting the finance function through the accurate processing of purchase orders, supplier invoices, payment transactions, and project-related accounting activities. The role works closely with the Senior Accountant and Project Accountant to ensure timely financial reporting, compliance, and effective support for project operations.
Key Responsibilities
- Review and verify purchase orders and supplier invoices to ensure accuracy and compliance with project and procurement requirements.
- Process purchase orders within the accounting system and maintain supporting documentation for audit and compliance purposes.
- Ensure all supplier invoices are properly approved and recorded in accordance with company procedures.
- Maintain organized records of purchase orders, invoices, and related financial documents.
- Accurately record financial transactions, including purchase orders, invoices, supplier payments, and expense claims.
- Ensure all transactions are entered into the accounting system in a timely manner.
- Assist with month-end closing activities and account reconciliations.
- Track supplier and contractor payment schedules to ensure timely settlement of obligations.
- Reconcile supplier statements and investigate any discrepancies.
- Follow up on outstanding invoices and ensure all liabilities are accurately recorded.
- Maintain positive working relationships with suppliers and internal stakeholders.
- Prepare payment schedules and supporting documentation for approval.
- Process supplier payments through bank transfers, cheques, or other approved payment methods.
- Ensure compliance with company financial controls and approval authorities.
Qualifications
- Bachelor's Degree or Diploma in Accounting, Finance, Commerce, or a related field.
- Professional accounting certifications are an advantage.
Experience
- 1–3 years of experience in accounting or finance-related roles.
- Experience in project accounting or construction-related accounting is preferred.
- Experience working under the supervision of a Senior Accountant or Finance Manager.
Technical Skills
- Proficiency in Microsoft Excel and MS Office applications.
- Experience using accounting software or ERP systems.
- Understanding of accounts payable processes and financial controls.
- Basic knowledge of project accounting principles and cost tracking.
