Responsibilities & duties:
As the Accounting Executive – Property Management Accounts, your key responsibilities will include:
1. Accounts Receivable Management:
- Oversee billing and collection processes for property management accounts, ensuring accurate and timely invoicing.
- Monitor and follow up on outstanding invoices to ensure timely payment from tenants.
- Communicate with tenants regarding billing discrepancies or payment issues and resolve concerns as needed.
- Maintain accurate records of payments, credits, and adjustments.
- Account Reconciliation:
- Perform monthly reconciliation of property management accounts, including bank statements, credit card transactions, and accounts receivable.
- Investigate and resolve discrepancies or errors in financial records.
- Report discrepancies or issues to Julissa for further review and resolution.
- Budget Analysis and Reporting:
- Assist in the preparation of monthly financial reports, analyzing property budgets, and identifying variances.
- Review expenditures to ensure alignment with the approved budget and to provide insights into cost-control opportunities.
- Report any budget variances or discrepancies to Julissa for further analysis.
- CAM (Common Area Maintenance) Reconciliation:
- Manage the CAM reconciliation process, ensuring the accurate allocation of CAM expenses in compliance with lease agreements.
- Prepare and issue CAM billing statements for tenants promptly.
- Resolve any discrepancies related to CAM charges and collaborate with property management teams to verify charges.
- Monthly Closing and Financial Reporting:
- Assist with the monthly close process to ensure all property-related financial transactions are recorded.
- Prepare and submit monthly property management financial reports, including profit and loss statements, balance sheets, and other financial documents.
- Work with Julissa to ensure all necessary journal entries and adjustments are made during the monthly closing process.
- Financial Compliance and Documentation:
- Ensure compliance with accounting standards and company policies for all property-related financial transactions.
- Maintain accurate and organized records of invoices, receipts, leases, and other supporting documentation.
- Support internal and external audits by providing required documentation and reports.
- Collaboration and Communication:
- Work closely with the property management team to ensure financial transactions are aligned with operational goals.
- Communicate with tenants and vendors regarding billing, payment issues, and accounting inquiries.
- Regularly report to Julissa on financial discrepancies, providing updates and ensuring timely resolution.
- Process Improvement:
- Identify opportunities to streamline and improve property management accounting processes.
- Recommend best practices for financial reporting and accounting within property management accounts.
- Stay updated on accounting trends and regulatory changes within property management accounting.
