Accounting Assistant

Position Summary

We are seeking a motivated and detail-oriented Accounting & Payables Associate to join our team at a premier luxury home builder. In this role, you will support the financial operations behind high-end residential construction projects, working closely with project managers, vendors, and subcontractors to ensure accurate and timely processing of all financial transactions in QuickBooks.

Key Responsibilities

• Process and manage full-cycle accounts payable and accounts receivable in QuickBooks
• Code and enter vendor invoices, subcontractor billings, and construction-related expenses
• Reconcile vendor statements and resolve discrepancies in a timely manner
• Generate and send client invoices and track draw schedules tied to project milestones
• Post incoming payments and maintain accurate AR records
• Assist with job costing and project-based expense tracking
• Maintain organized records for subcontractor agreements, lien waivers, and W-9s
• Support month-end close and assist with financial reporting for active projects
• Communicate professionally with high-end vendors, subcontractors, and clients

Qualifications

• 1–3 years of AP/AR or bookkeeping experience; construction industry experience a plus
• Proficiency in QuickBooks (Desktop or Online) required
• Familiarity with job costing or project-based accounting preferred
• Strong attention to detail and ability to manage multiple projects simultaneously
• Professional communication skills — you will interact with luxury clientele and vendors
• Proficient in Microsoft Excel or Google Sheets
• Associate's or Bachelor's degree in Accounting, Finance, or related field preferred
