Accounting Coordinator

Position: Accounting Coordinator (Full-Time)
Location: Edgewood, NY (On-site)

Aiston Fine Art Services is seeking a highly organized and detail-oriented Accounting Coordinator to support day-to-day financial and administrative functions. This role will focus on accounts receivable, accounts payable, payroll processing, and general bookkeeping, while working closely with management and our third-party accounting firm. The position also supports internal organization and financial tracking across the business.

Key Responsibilities

  • Manage accounts receivable, including invoicing, tracking balances, and following up on outstanding payments
  • Maintain AR aging and assist with collections efforts
  • Process accounts payable, including vendor bills and payment scheduling
  • Assist with payroll processing and ensure accuracy and timeliness
  • Maintain employee records and documentation (onboarding, payroll-related records, compliance files)
  • Perform bookkeeping tasks and maintain accurate financial records
  • Reconcile bank and credit card statements
  • Coordinate with third-party accountants for reporting and financial reviews
  • Track and process company expenses, including parking tickets and other operational costs
  • Assist with internal financial tracking and reporting as needed
  • Support ongoing improvements to financial systems, including potential transition from QuickBooks to Xero

Qualifications

  • 2–5+ years of experience in bookkeeping, accounting, or similar role
  • Solid understanding of AR, AP, and basic accounting principles
  • Experience with payroll systems preferred
  • Proficiency in QuickBooks required
  • Experience with Xero is a plus
  • Highly organized with strong attention to detail
  • Comfortable following up on outstanding invoices
  • Strong communication skills and ability to work with internal teams and external accountants
  • Proficiency in Excel

Compensation

  • Salary: $60,000 – $70,000, based on experience
  • Opportunity for growth into a more senior role over time

Pay: $60,000.00 - $70,000.00 per year
