Position Summary
The Accounting Manager is a hands-on finance and accounting leader responsible for establishing and maintaining financial clarity, ensuring clean, timely books, and building the financial rhythms and systems that give Geo-Sci confidence in its decisions.
This role supports the Business Owner and Leadership Team, by owning core accounting execution (AP/AR/payroll/close), elevating the quality and timeliness of reporting, and driving practical automation across the full lifecycle—from field activity and order capture through invoicing, collection, and payment.

Key Responsibilities
Accounting, Tax & Compliance
- Own general ledger accuracy, coding discipline, and documentation standards.
- Execute month-end and year-end close with a repeatable cadence and clear deadlines.
- Reconcile bank and credit card accounts monthly; ensure the balance sheet is accurate and trusted.
- Manage accounts payable and accounts receivable end-to-end:
- Vendor setup, invoice review, approvals, and timely payments
- Customer invoicing support, collections follow-up, and AR hygiene
- Maintain and regularly review AR aging (0–30 / 31–60 / 61–90 / 90+) with escalation plans
- Administer payroll processing and ensure payroll entries reconcile to bank activity.
- Identify and resolve discrepancies between ADP exports, QuickBooks journal entries, and bank debits
- Maintain accounting policies, internal controls, and audit readiness.
- Support tax preparation, filings, and coordination with external CPAs; ensure deliverables are on time.
- Maintain and periodically review legacy and stale receivables; support write-off recommendations with documentation.

Cash Management
- Monitor daily cash balances and cash flow activity.
- Support short-term cash forecasting and working capital planning.
- Ensure timely vendor payments while protecting liquidity and financial stability.
- Coordinate with banking partners as directed.
Financial Reporting, Margin & Profit Analysis
- Prepare internal financial reports, schedules, and management dashboards.
- Support budgeting, forecasting, and variance analysis.
- Track project-level costs, billing, and margins to support profitability analysis.
- Identify trends, risks, and improvement opportunities related to margins and financial performance.
Technology, Systems & Automation
- Support and continuously improve financial and operational systems from order initiation through invoicing and payment.
- Maintain accuracy and integration between accounting, billing, payroll, and operational systems.
- Identify opportunities for automation and process improvement that reduce manual effort and errors.
- Partner with leadership and vendors to implement tools that improve visibility, efficiency, and data integrity.

Qualifications
- Bachelor’s degree in Accounting or Finance required (CPA/CMA track is a plus)
- 3–6 years of progressive accounting experience (public accounting and/or project-based environments strongly preferred)
- Experience with payroll processing and AP/AR management
- Proficiency with accounting software and Excel. Comfort working across multiple systems and data exports/imports
- Experience with QuickBooks and/or ERP, field-to-invoice workflows, and process automation preferred
- Experience in engineering, construction, or professional services environments preferred
Pay: $70,000.00 per year
