Accounting Supervisor

The Accounting Supervisor performs specialized accounting, administers the Pratt Library's timekeeping and procurement, and is a key player with the financial records for the Enoch Pratt Library. The Accounting Supervisor prepares the Pratt Library’s financial statement and takes a lead role in coordinating the yearly audit. This position supervises an Administrative Coordinator and an Accountant I.
The Accounting Supervisor will work under the supervision of the Library's Controller.
This position can be hybrid after 90 days of employment.

Summary of Duties:
The summary of duties listed below is not exhaustive. Additional duties are dependent upon the needs of the hiring department or division.
  • Supervises a revolving book purchase fund, including payments, reimbursements and reconciliations.
  • Primary preparer of annual 990 filing.
  • Maintains liaison with City and State personnel and agencies.
  • Supervises all routine and non-routine purchase requests for the Pratt Library, utilizing various purchasing mechanisms in accordance with City of Baltimore and Library procurement guidelines.
  • Grant reporting, billing and oversight.
  • Assists in maintenance of accounting and business office policies and procedures.
  • Preparation of annual audited financial statements in conjunction with CFO, Controller, and second Accounting Supervisor. Statements require consolidation of data from multiple sources.
  • Works directly with auditors to assist in coordination of the annual audit process including preparation of various reconciliations and schedules working with other Library staff.
  • Monthly financial reporting to stakeholders. Self-actuating follow-up, including detailed account reconciliation and preparation of journal entries as needed.
  • Supports the annual budget process.
  • Supervises the Administrative Coordinator (procurement) and Accountant I.
  • Serves as Library lead for bi-weekly review of time entry in Workday, including liaison with City payroll services to resolve employee pay concerns.
Minimum Qualifications:
  • Bachelor’s degree from an accredited college in Business, Finance, Accounting or a related field.
  • Five (5) years of experience in a complex accounting environment.
  • Experience with MS Excel and MS Office applications.
  • Experience in accounting for GASB and GAAP.
  • Supervisory experience.
Preferred Qualifications:
  • Accounting experience in a government agency or non-profit organization.
  • Public Accounting experience preferred.
  • Experience with MIP software beneficial.
  • Experience with Workday or a similar ERP is beneficial.
Required Knowledge, Skills and Abilities:
  • Advanced knowledge of principles of accounting, GASB, and GAAP in a nonprofit/governmental setting.
  • Technical knowledge, proficiency, and hands on ability in automated accounting systems administration and operation (MIP preferred).
  • Maintenance of Chart of Account and Accounting Systems.
  • Demonstrated communication and customer service skills.
  • Knowledge of the principles and techniques of financial management.
  • Knowledge of financial statement preparation including consolidation in an automated environment.
  • Ability to establish and maintain effective working relationships with Library staff, administrators and city and state officials.
  • Advanced proficiency in MS Office including Excel and Word.
  • Experience coordinating all activities related to an external audit.
  • Experience meeting deadlines in a fast-paced environment.
  • Team player.
