Job Title: Accounts Payable Clerk

Department: Accounting

Classification: Non-Exempt

Reports To: Controller

Job Description:

Responsible to the Accounting Supervisor for accurate accounting of funds being paid by the company in a timely manner, maximizing discount opportunities; set up and maintain filing of paid invoices; resolve discrepancies between invoices and receiving documents; maintain monthly reoccurring payments where applicable and other accounting duties as needed.

Key Responsibilities:

  • Process incoming invoices for payment.
  • Voucher invoices for payment.
  • Match invoices to receiving documents.
  • Issue checks for invoices and bills to be paid.
  • Match check stubs to invoices paid.
  • File vouchers, invoices paid, etc.
  • Review monthly statements from vendors.
  • Type and enter manual checks into the system.
  • Set up and maintain files for paid bills.
  • Communicate with vendors about missing invoices, etc.
  • Maintain monthly reoccurring payments.
  • Prepare credit applications for new suppliers and vendors as necessary.
  • Ensure all vendors are set up correctly for 1099 reporting
  • Prepare 1099 and 1042 forms, mail and file by IRS deadlines
  • Work with a team to complete tasks.
  • All other duties as assigned.

Skills and abilities for success in this position:

  • Detail oriented, organized, and able to multi-task and adapt to changing demands and priorities.
  • Must exhibit excellent communication, written and verbal skills.

Knowledge, Education and or Experience required:

  • Associates Degree, or equivalent previous accounting experience
  • Proficiency in Microsoft Office products required.
  • Proficiency in Epicor 11 preferred but not required.
  • Must have expert knowledge accounting functions.
  • Must be a licensed driver with a good driving record (subject to MVR)

Physical Requirements:

  • Must be able to work in non-climate controlled environment where ambient air temperature can exceed outside air temperature occasionally.
  • Must be able to bend at waist and knees and stand for extended periods of time.
  • Must be able to lift 25 pounds when necessary.
  • This is a safety sensitive position.

While performing the duties of this job, the employee may be exposed to weather conditions, normal office environment or factory environment that is not climate controlled. The noise level in the work environment is usually moderate. The factory in certain areas maintains a high fiberglass and dust environment.

Personal Protective Equipment might be required in certain areas of the factory including but not limited to safety glasses, respirator, hearing protection, gloves and protective garments.

Employees in safety-sensitive positions must report to work fit for duty and must remain fit for duty throughout their work day. To be fit for duty, the employee must not be impaired by alcohol, illicit drugs, or medication.
