Accounts Payable Specialist

Job Title: Accounts Payable Specialist (Multi-Unit Restaurant Group)

Job Summary:
We are seeking a highly organized and detail-oriented Accounts Payable Specialist to support our multi-location restaurant group. This role is responsible for managing high-volume invoice processing, ensuring accurate and timely payments, and maintaining strong relationships with vendors across all restaurant locations. The ideal candidate thrives in a fast-paced environment and can effectively coordinate with multiple teams.

Key Responsibilities:

  • Process and manage high-volume invoices across multiple restaurant locations
  • Review, code, and enter invoices into the accounting system for all units
  • Match invoices with purchase orders and receiving documents
  • Coordinate with restaurant managers for timely invoice approvals
  • Prepare and execute weekly payment runs (checks, ACH, and vendor portals)
  • Reconcile vendor statements and resolve discrepancies across locations
  • Maintain vendor files and ensure accurate records for all accounts
  • Communicate with vendors regarding billing issues, shortages, or pricing discrepancies
  • Track and ensure proper allocation of expenses by location and department
  • Assist with month-end close, including accruals and reporting
  • Ensure compliance with company policies, internal controls, and audit standards
  • Reconcile monthly CC statement
  • Assist HR with projects as need

Qualifications:

  • Preferred 2+ years of accounts payable experience, preferably in hospitality or multi-unit environments
  • Experience handling high-volume transactions across multiple locations
  • Strong understanding of basic accounting principles
  • Proficiency in accounting software (e.g., QuickBooks, Restaurant365, Sage, or similar)
  • Intermediate Excel skills (sorting, filtering, basic formulas)
  • Strong attention to detail and organizational skills
  • Ability to prioritize and meet deadlines in a fast-paced environment

Preferred Skills:

  • Experience with multi-entity or multi-location accounting
  • Familiarity with food and beverage vendors and cost structures
  • Experience with inventory and purchasing systems
  • Knowledge of restaurant operations and workflows

Work Environment:

  • Fast-paced, deadline-driven environment supporting multiple restaurant locations
  • Office-based
  • Regular communication with management teams across locations
