Job Title: Admin Assistant / Coordinator

Reports To: Operations Manager / Accounts Manager

Job Summary

We are looking for a proactive and organized Admin Assistant to support daily administrative operations, coordinate between departments, follow up on accounts-related matters, and manage delivery arrangements. The ideal candidate will have strong communication skills and the ability to handle multiple tasks efficiently.

Key Responsibilities

  • Coordinate daily activities between sales, operations, technicians, and clients
  • Follow up with the accounts team and clients regarding invoices, SOAs, and pending payments
  • Prepare and maintain administrative documents, reports, and records
  • Arrange deliveries and installations with clients and internal teams
  • Track delivery schedules and ensure timely completion
  • Handle email communication, calls, and client follow-ups professionally
  • Maintain records of purchase orders, delivery notes, and service schedules
  • Support management with general office administration tasks
  • Ensure proper documentation and filing (soft & hard copies)

Accounts & Coordination Responsibilities

  • Follow up on outstanding invoices and payment confirmations
  • Coordinate with clients and internal teams regarding billing status
  • Update payment trackers and Excel sheets
  • Assist in preparing SOAs, quotations, and delivery documentation

Requirements & Qualifications

  • Diploma or Bachelor’s degree in Business Administration or a related field
  • Proven experience as an Admin Assistant, Coordinator, or similar role
  • Good knowledge of MS Office (Excel, Word, Outlook)
  • Strong communication and coordination skills
  • Ability to multitask and work under pressure
  • Experience in accounts follow-ups or basic accounting support is an advantage

Job Type: Full-time

Pay: AED2,500.00 - AED3,000.00 per month
