Admin Assistant

Job Summary

We are seeking a highly organized and detail-oriented Admin Assistant to manage daily administrative operations of our car care center. The ideal candidate will support front-desk operations, handle customer coordination, manage documentation, assist with billing, and ensure smooth workflow between customers, technicians, and management.

Key Responsibilities

1. Front Desk & Customer Coordination

  • Greet customers and handle walk-in inquiries professionally
  • Manage appointment bookings (calls, WhatsApp, online leads)
  • Prepare job cards and explain service details to customers
  • Follow up with customers for approvals and vehicle delivery
  • Handle basic customer complaints and escalate when required

2. Billing & Documentation

  • Prepare invoices and receipts
  • Coordinate POS and payment collections
  • Maintain daily sales records and cash reconciliation
  • Prepare quotations for PPF, ceramic coating, detailing, tinting, etc.
  • Maintain customer database and service history

3. Operations Support

  • Coordinate with technicians regarding job status
  • Track vehicle delivery timelines
  • Maintain inventory records (consumables, PPF rolls, coatings, etc.)
  • Assist in ordering supplies when required

4. HR & Staff Coordination

  • Maintain staff attendance records
  • Assist in payroll data preparation
  • Manage staff documentation files

5. Marketing & CRM Support

  • Respond to social media and website inquiries
  • Maintain customer feedback records
  • Assist in sending promotional offers and follow-ups
  • Request Google reviews from satisfied customers

Required Skills & Qualifications

  • Strong communication skills (English required, Arabic is a plus)
  • Proficient in MS Office (Excel, Word)
  • Experience with invoicing software / CRM systems
  • Strong organizational and multitasking skills
  • Professional appearance and customer-focused attitude

Working Conditions

  • 6 days a week (as per UAE labor law)
  • Based at the car care center location

Job Type: Full-time

Pay: AED2,000.00 - AED2,500.00 per month
