Position overview

Maintain, organize, and update project and administrative documentation, ensuring accuracy, proper filing, and version control.

Coordinate with internal teams, branches, and external partners to gather required documents and prepare complete project documentation packs.

Arrange travel logistics for personnel, including flights, accommodation, transport, visas, and itinerary briefings; manage rebookings when needed.

Prepare and distribute travel document packs and ensure all travel-related requirements are met ahead of deployment.

Book offshore and technical trainings, schedule medical or assessment appointments, and keep training and certification records up to date.

Create and process Purchase Orders (POs) for subcontracting and travel services, and verify invoices to resolve discrepancies promptly.

Support documentation compliance by staying updated on certification requirements and providing basic documentation training when necessary.

Profile

The profile we are looking for shall present

  • Minimum 2 years of experience in the field.
  • Bachelor's degree or equivalent work experience.
  • Knowledge of Offshore Certification Standards (BOSIET, HUET, BST) is beneficial.
  • Microsoft Office Suite - Outlook, Word, Excel (high level of proficiency required), PowerPoint
  • Visa procedures to various countries is beneficial
  • Travel Industry Exposure is a plus.
  • Awareness regarding:
    1. The organisation's quality, environmental, or health and safety policies;
    2. Job Specific procedures, instructions and formats;
    3. Relevant quality, environmental, or health and safety objectives;
    4. Their contribution to the effectiveness of the management system;
