Title: - Admin Project Coordinator

Location: - Abu Dhabi, UAE

Requirements

Bachelors’ degree with minimum 5 years relevant experience in Construction Company in UAE.

1. Project Documentation & Communication

- Maintain all project files (contracts, drawings, permits, correspondence).

- Prepare and circulate meeting minutes (MOM) to all concerned.

- Maintain updated project contact list (client, consultants, subcontractors, suppliers).

- Draft and send formal emails, memos, and letters as required.

2. Progress Reporting & Tracking

- Collect daily progress reports from site team / subcontractors.

- Compile weekly and monthly progress summaries for management.

- Update project progress tracker and dashboard.

- Coordinate with site engineers for daily updates.

3. Material & Procurement Coordination

- Track material requests and deliveries to site.

- Coordinate with procurement for pending material status.

- Maintain material log (ordered, received, pending).

- Follow up with suppliers for timely deliveries.

4. Site Coordination & Support

- Assist in gate pass and site access arrangements.

- Coordinate for mobilization/demobilization of manpower and equipment.

- Maintain attendance and manpower report.

- Handle petty cash and expense claims for site activities.

5. Administration & Compliance

- Manage project correspondence filing (soft + hard copies).

- Support project HR needs (ID cards, PPE issuance, etc.).

- Track permit approvals and renewals.

- Ensure compliance with HSE and company admin policies.

6. Logistics & Transport Arrangements

- Coordinate transportation for materials and manpower.

- Monitor vehicle and equipment allocation for project use.

- Liaise with logistics team for dispatch schedules.

7. Meeting Coordination

- Schedule internal and external meetings.

- Prepare agenda and take minutes of meetings.

- Follow up on action points and deadlines.

8. Project Budget & Cost Control Support

- Track site expenses and petty cash usage.

- Support project manager in budget updates and reports.

- Maintain vendor invoice record and submit to accounts.

9. Issue & Risk Tracking

- Log all project issues and monitor resolutions.

- Escalate delays, material shortages, or manpower issues to management.

- Maintain a risk/issue register.

10. Coordination with Management & Clients

- Provide project status updates to management.

- Support client communication and documentation.

- Share daily/weekly summaries and ensure timely response.
