ADMIN SECRETARY

Job Summary

Administrative Secretary to the General Manager provides high-level administrative and secretarial support to ensure the efficient operation of the GM’s office. This role requires discretion, strong organizational skills, and the ability to manage confidential information while coordinating communication between management, staff, and external parties.

Key ResponsibilitiesAdministrative Support

  • Manage the General Manager’s calendar, appointments, and meeting schedules
  • Prepare correspondence, reports, memos, presentations, and other documents
  • Organize and maintain files, records, and confidential documents
  • Screen calls, emails, and visitors, prioritizing matters requiring the GM’s attention
  • Handle travel arrangements, itineraries, and expense reports

Communication & Coordination

  • Act as a liaison between the GM and internal departments
  • Coordinate meetings, prepare agendas, and record minutes
  • Follow up on action points and ensure deadlines are met
  • Communicate directives, instructions, and updates from the GM

Office & Operational Support

  • Monitor office supplies and coordinate procurement when needed
  • Assist in preparing budgets, reports, and departmental documentation
  • Support company events, meetings, and management activities
  • Maintain professional relationships with clients, suppliers, and partners

Confidentiality & Compliance

  • Handle sensitive and confidential information with discretion
  • Ensure company policies and procedures are followed in documentation and communication

Qualifications

  • Bachelor’s degree or Diploma in Business Administration, Office Management, or related field
  • Minimum 3–5 years of experience in an executive or administrative secretary role
  • Experience supporting senior management or executives is preferred

  • Strong organizational and time-management abilities

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask and work under pressure
