ADMIN & SECRETARY

We are looking for a highly organized and detail-oriented ADMIN AND SECRETARY to provide administrative and secretarial support to the office. The ideal candidate will be responsible for managing day-to-day administrative tasks, scheduling meetings, handling correspondence, and supporting internal teams to ensure smooth office operations.The role blends administrative excellence with strategic awareness, supporting and maintaining momentum across key initiatives and daily priorities.

KEY RESPONSIBILITIES:

  • Communication handling: Act as the first point of contact for calls, emails, and correspondence. Draft, edit, and proofread letters, memos, and executive communications while maintaining strict confidentiality and professionalism.
  • Meeting support: Prepare comprehensive meeting agendas, briefing materials, and presentation decks. Attend meetings when required to capture accurate minutes, track action items, and ensure timely follow‑up.
  • Office coordination: Serve as a liaison between the Chief executiv officer and internal departments, external partners, and VIP visitors. Manage office logistics, coordinate appointments, and maintain a polished and welcoming executive environment.
  • Document management: Organize and maintain digital and physical filing systems, ensuring secure handling of contracts, reports, and sensitive documents. Support document reviews and ensure version control.
  • Project assistance: Assist the CEO with research, data gathering, and preparation of executive summaries, reports, and presentations. Provide support on special projects that require coordination, follow‑up, and cross‑departmental communication.
  • Confidentiality & discretion: Uphold the highest standards of integrity when handling confidential information, strategic documents, and sensitive discussions.

QUALIFICATIONS & EXPERIENCE:

  • Bachelor’s degree or Diploma in Business Administration or related field
  • Proven experience in a similar administrative or secretarial role
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Ability to multitask and work under pressure
  • Professional demeanor and positive attitude
  • Discretion and confidentiality are a must
