Administrative Assistant

Koç University's Graduate School of Sciences and Engineering (GSSE) is seeking a qualified candidate for the position of Administrative Assistant with the following qualifications:


QUALIFICATIONS:


  • Bachelor’s or higher degree in a related field
  • At least 3 years of professional experience
  • Strong communication skills in Turkish and English
  • Prior experience and advanced proficiency in MS Office applications (Word, Excel, PowerPoint)
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Proactive approach in taking the lead and self-initiating, planning, and execuiting responsibilities.
  • Commitment to continuous learning and adaptation to new software tools (e.g., SAP, PeopleSoft)
  • Accounting experience and/or programming skills are considered a plus
  • Previous experience in reporting is preferred


JOB DESCRIPTION


  • Providing comprehensive support in addressing inquiries from prospective students throughout the application process and regarding applications submitted via the online system.
  • Managing correspondence with faculty, graduate students, staff, and various administrative levels.
  • Ensuring timely processing of all students petition requests.
  • Programing and scheduling graduate program courses, aligning schedules of fulltime and parttime faculty members
  • Adhering to graduate student processes in compliance with YÖK legislation.
  • Collaborating with various offices including Registrar’s Office, Comptroller Office, HR, Library, and Dormitory to address graduate student, faculty, and program-related matters.
  • Coordinating Graduate School Executive Council meetings, scientific events, and visits, and providing necessary support throughout the processes.
  • Delivering academic and research support services for the Graduate School, including managing student applications, requisitions, and organizing seminars and workshops.
  • Handling financial processes such as disbursing students’ monthly stipends, processing travel budget requests, and managing expense claims and reimbursements.
  • Handling students administrative and academic needs and affairs
  • Updating databases and managing website and social media contents.
  • Assist with financial and accounting-related processes in coordination with relevant university units
  • Undertaking additional duties as assigned, such as preparing presentations, reports, and facilitating meetings.
