Position Overview:

The Administrative Assistant performs a variety of administrative duties to support the assigned department and delivers a high level of administrative services to the assigned executive at Majestic Care’s Home Office. Support includes, but is not limited to, managing all aspects of executive calendars, including scheduling meetings and resolving conflicts, managing verbal and written communications on behalf of executives, travel and conference arrangements, meeting minutes, detailed PowerPoint presentations, Excel spreadsheets and departmental reports as assigned. This role organizes and develops information and materials necessary for meetings, completes special projects, presentations, and event planning.


Executive Administrative Support

  • Manage complex calendars, email correspondence, travel arrangements, and expense reporting for executive leadership.

  • Provide comprehensive administrative support including meeting coordination, document preparation, note‑taking, meeting minutes, and distribution of reminders and follow‑ups.

  • Serve as a primary liaison with C‑suite executives, their administrative teams, customers, vendors, families, partners, board members, and key internal and external stakeholders.

  • Handle highly confidential and sensitive information with discretion, professionalism, and sound judgment.

  • Develop, organize, and maintain materials for special projects, presentations, and executive reports.

  • Support cross‑functional initiatives, compliance activities, and internal communications efforts.

Administration Department Support

  • Deliver a professional and welcoming first point of contact for clients, vendors, staff, and visitors via phone, email, and in-person interactions.

  • Provide backup support to front desk operations as needed.

  • Coordinate organizational and meeting logistics, including scheduling, follow‑up communications, supply ordering, space reservation, and document management (copying, scanning, faxing).

  • Assist staff with travel coordination, expense tracking, program materials, stipend supplies, and operational needs.

  • Identify opportunities to streamline workflows and implement process improvements to enhance efficiency.

  • Organize and coordinate department projects, conferences, events, and internal gatherings.

  • Participate in multidisciplinary meetings, committees, and initiatives involving educational programs, conflict resolution, cost‑containment, new system/service implementation, and performance improvement.

  • Document meeting minutes and ensure follow-up on action items.

  • Collaborate with Human Resources and leadership teams on employee engagement initiatives; serve as an ambassador for organizational culture.

  • Support and execute special projects as assigned.

  • Perform additional duties as needed to support organizational operations.


Education

  • Bachelor’s degree in business or a related field preferred.

Experience

  • Proven experience in a high-level administrative or executive support role, preferably in healthcare or senior care.

  • Experience supporting executives in a fast-paced, mission-driven, or high-growth organization.
