Administrative Assistant

Job Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in ensuring smooth operations within our office environment. The ideal candidate will possess strong administrative skills, excellent customer support abilities, and a knack for multitasking. As the first point of contact for clients and visitors, you will play a crucial role in creating a welcoming atmosphere while efficiently managing various administrative tasks. A background of phone sales and being personable on the phone is a strong benefit.

Responsibilities

  • Greet and assist visitors and clients in a professional manner.
  • Manage incoming calls and emails, directing them to the appropriate personnel.
  • Maintain organized filing systems and ensure all documents are accurately filed.
  • Provide administrative support including scheduling appointments and managing calendars.
  • Utilize social media platforms, lead generators, and Jobber.
  • Create monthly newsletters as well as maintain our job photo database.
  • Proofread documents for accuracy and clarity before distribution.
  • Assist with customer support inquiries, providing timely responses to client questions.
  • Utilize Microsoft for document creation, spreadsheets, and presentations.
  • Perform clerical duties such as data entry and maintaining office supplies inventory.
  • Support personal assistant tasks as required by management.
  • Maintain expense spreadsheets and receipts.

Requirements

  • Proven experience as a receptionist or in an administrative role is preferred.
  • Familiarity with Microsoft is a plus but not mandatory.
  • Strong computer literacy with social media skills encouraged.
  • Excellent proofreading skills with attention to detail.
  • Ability to provide exceptional customer support and maintain professionalism at all times.
  • Strong organizational skills with the ability to multitask effectively.
  • Previous experience with phone sales are a strongly encouraged.
  • A proactive attitude with the ability to work independently as well as part of a team.

Job Type: Part-time

Pay: $12.00 - $15.00 per hour
