Administrative Assistant

We have a unique opportunity available for an Administrative Assistant. Please be aware that this position is based at our Buffalo support center located in Williamsville, NY and is an in-office position located at 180 Lawrence Bell Drive, Suite 100.

The Administrative Assistant role provides high-level administrative support to the President, Vice President of Operations, and other departments. This role requires strong organizational skills, discretion, and the ability to work independently while supporting reporting, meetings, and operational initiatives. It also requires flexibility and the ability to thrive in a fast-paced environment while adapting to changing priorities.

Key Responsibilities

  • Provide administrative support to senior leadership
  • Schedule and coordinate meetings (including securing venues, ordering food, and making detailed arrangements as needed), travel, and conference room usage
  • Prepare agendas, budgets, presentations, reports, and meeting minutes
  • Manage and create daily, weekly, monthly, and annual reporting
  • Handle correspondence, mail, and shipping (FedEx/UPS)
  • Maintain and order office supplies, equipment, calendars, and records
  • Analyze operational data and produce reports
  • Support special projects and cross-functional initiatives
  • Maintain databases, corporate rosters, and archived records
  • Coordinate vendors, supplies, and departmental requests
  • Serves as a point of contact for guest interactions and handles concerns
  • Minimal overnight travel as required

Qualifications

  • 5–7 years of progressive administrative experience; 1–2 years supporting C-suite executives preferred
  • Advanced proficiency in Microsoft Excel, PowerPoint, Word and Outlook
  • Excellent organizational and communication skills
  • Self-directed and strong time management skills
  • High level of professionalism, discretion, and attention to detail
