Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
- Manage safety department, maintenance on equipment and driver paper work.
- Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly.
- Perform data entry tasks using Microsoft Office, Google Workspace, and other office software with accuracy and speed.
- Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents. Maintenance records, driver reports, ETC.
- Support calendar management by scheduling appointments, meetings, and coordinating events seamlessly.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices.
- Provide excellent customer service by supporting clients, vendors, and internal teams with professionalism and responsiveness.
- Conduct proofreading of documents to ensure clarity, accuracy, and professionalism before distribution.
- Handle clerical duties such as copying, scanning, faxing, and preparing reports or presentations.
- Support office management activities by overseeing supply inventory and coordinating maintenance requests.
- Offer personal assistant support when needed—managing travel arrangements or special projects with discretion.
Skills
- Knowledge of semi trucks and trailers and truck company operations is strongly encouraged.
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Excellent computer literacy with familiarity in QuickBooks, bookkeeping, and basic accounting practices.
- Strong typing skills coupled with meticulous proofreading abilities for professional document preparation.
- Effective multi-tasking capabilities with excellent time management skills to prioritize workload efficiently.
- Exceptional customer service skills complemented by polished phone etiquette and bilingual communication (preferred).
- Knowledge of office equipment such as multi-line phones, fax machines, scanners, and printers.
