Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to support the owner in a fast-paced office environment. The ideal candidate will have strong organizational skills, excellent communication abilities, and proficiency in various office software. This role involves managing front desk operations, assisting with clerical tasks, and providing exceptional customer service to both internal and external clients.
Responsibilities
- Manage front desk operations, including greeting visitors and handling inquiries.
- Operate phone systems to direct calls and take messages.
- Perform data entry, filing, and maintain organized records.
- Assist with calendar management and scheduling appointments.
- Provide customer support through effective communication and problem-solving.
- Utilize Microsoft Office and Google Workspace for document preparation and correspondence.
- Conduct proofreading of documents to ensure accuracy and professionalism.
- Maintain office supplies inventory and assist with office management duties.
- Collaborate with team members to improve administrative processes.
- Travel to multiple locations and attend meetings
- Attend township meetings to represent the school
- Follow up on client relations
- Ensure that the academy staff has what they need to function.
- Take accurate notes in meetings
- Provide reports
- Review calendars for the owner, the academy, the staff, events and township.
- Able to conduct research and provide effective reports for analysis.
Qualifications
- Proven experience in an administrative role or similar position.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Excellent organizational skills with the ability to manage multiple tasks efficiently.
- Strong typing skills with attention to detail for accurate data entry.
- Demonstrated ability in customer service with a focus on phone etiquette and support.
- Effective time management skills to prioritize tasks effectively in a busy environment.
