Administrative Assistant

Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support Guardian Construction Co., Inc.'s daily office operations, providing administrative and clerical support within a construction based environment. This role assists with document management, invoice processing support, project coordination, payroll documentation, and general office administration. Your proactive approach and strong organizational skills will contribute significantly to our company's success and positive work environment.

Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Provide administrative support to accounting, project managers, and operations staff.
  • Assist with processing vendor and subcontractor documentation and invoices.
  • Maintain organized project and accounting files.
  • Handle multi-line phone systems, answer inquiries, and route calls efficiently using excellent phone etiquette
  • Perform data entry, filing, and document proofreading to maintain accurate records and support administrative processes
  • Support payroll documentation and onboarding paperwork.
  • Assist with job setup, reporting, and general office coordination.
  • Prepare routine reports and correspondence.
  • Perform additional duties as assigned.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for report creation, scheduling, and correspondence
  • Assist with office management duties such as ordering supplies, maintaining inventory, and organizing files for easy access

Qualifications/Requirements

  • 1–3 years administrative or clerical experience preferred.
  • Excellent computer literacy including proficiency in Microsoft Office, Google Workspace, and data entry tools
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Experience with multi-line phone systems, front desk operations, and customer service is highly desirable
  • Knowledge of Viewpoint (Trimble) experience is preferred but not mandatory
  • Exceptional proofreading skills to ensure clear communication
  • Ability to handle confidential information discreetly while maintaining professionalism
