Reports To: Program Manager & Grant Writer
Employment Type: Full-Time, Hourly, Non-Exempt
Pay: $18-$22/hour

About the Role
As an Administrative Assistant, you’ll be the friendly face and organized force behind our Programs team. You’ll support our staff and clients by managing day-to-day administrative tasks that keep our mission moving forward. From greeting walk-ins to preparing training materials, your work will directly impact the lives of those we serve.
What You’ll Do
· Be the first point of contact: answer phones, greet visitors, and assist clients with program information.
· Conduct daily outbound telephone outreach to schedule individuals for training, complete training reminders, follow-up on attendance, and complete trainee intakes.
· Provide program support by copying training materials, preparing sign-in sheets, tracking participant attendance, following up with trainees as needed, and completing required background checks
· Keep us organized: manage files (paper and digital), handle data entry, and maintain spreadsheets.
· Assist with communications: create and distribute documents, mailings, and verification letters.
· Help with payroll distribution and timecard preparation.
· Participate in team meetings and contribute to a positive, mission-focused work environment.
· Provide general support to staff and management as needed.
Basic Qualifications
· High school diploma or equivalent.
· Strong verbal and written communication skills.
· Excellent data entry skills.
· Experience with Microsoft Office (Word, Excel, Outlook).
· Excellent attention to detail and organizational skills.
· Ability to lift up to 25 pounds.
Preferred Qualifications
· Associate degree or additional administrative training.
· Experience working with underserved or disadvantaged communities.
· Bilingual or multilingual skills are a plus.
· Familiarity with nonprofit or workforce development environments.
