Administrative Assistant

About Taurus Builders

Taurus is a growing construction and real estate investment company in Tampa. We run renovations, new construction, and investor-driven projects. We’re looking for a sharp, proactive, bilingual Administrative Assistant who can keep the office running clean, fast, and organized.

What You’ll Do (Key Responsibilities)

Office & Operations

  • Manage daily office operations, calendars, scheduling, and internal follow-ups
  • Answer calls/emails professionally and route requests with urgency and judgment
  • Maintain clean digital and physical filing systems (contracts, proposals, invoices, permits, vendor docs)
  • Prepare documents, reports, checklists, and meeting notes

Client & Vendor Coordination

  • Coordinate communication with clients, vendors, subcontractors, inspectors, and partners
  • Confirm appointments, site visits, deliveries, and timelines
  • Track action items and ensure nothing falls through the cracks

Basic Finance / QuickBooks Support

  • Assist with invoicing, receipts, and basic transaction organization
  • Upload and organize expenses, vendor bills, and payment records
  • Support accounts receivable follow-ups (friendly reminders + tracking)
  • Keep documentation ready for leadership/accountant review

CRM & Lead Follow-Up

  • Enter and track leads in CRM (status, next step, reminders)
  • Support follow-ups and scheduling for prospects/investors

Required Skills & Qualifications

  • Bilingual: Professional English (spoken/written) + Spanish (spoken/written)
  • 1+ year experience in administrative support / office operations (preferred)
  • Tech-savvy: Google Workspace or Microsoft Office + calendars + spreadsheets
  • Organized, detail-driven, and excellent communication under pressure
  • Reliable transportation and ability to commute to Downtown Tampa consistently
  • High integrity and confidentiality with financial/client information

Nice to Have

  • Construction, real estate, property management, or contractor office experience
  • QuickBooks familiarity (basic level is fine)
  • Experience with CRM, Gohighlevel/Trello/Asana, or task tracking systems
