Administrative Assistant

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and enhance overall office efficiency. Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately to create a welcoming atmosphere
  • Operate multi-line phone systems with professionalism, ensuring clear communication and efficient call handling
  • Perform data entry, filing, and document proofreading to maintain accurate records and high-quality documentation
  • Utilize Microsoft Office Suite and Google Workspace tools for scheduling, correspondence, and report generation
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff and executives
  • Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
  • Provide customer support via phone or email, addressing inquiries with excellent phone etiquette and professionalism
  • Maintain office supplies inventory, organize files, and ensure the workspace remains tidy and functional

Qualifications

  • Proven experience in office management or administrative support roles with strong clerical skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and basic computer literacy
  • Experience with multi-line phone systems, data entry, filing, and proofreading documents accurately
  • Bilingual abilities are highly desirable to assist diverse clients and team members effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Excellent time management skills to handle multiple responsibilities simultaneously
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Knowledge of bookkeeping software such as QuickBooks is advantageous
  • Demonstrated customer service skills with professional phone etiquette and a friendly demeanor
