Administrative Assistant

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications
  • Perform data entry and bookkeeping tasks using QuickBooks and other accounting tools to support financial accuracy
  • Schedule appointments and manage calendars
  • Support office management tasks such as ordering supplies, maintaining equipment, and overseeing general administrative workflows
  • Provide exceptional customer service by assisting clients with inquiries, support requests, or appointment scheduling
  • Proofread documents for accuracy and clarity before distribution, ensuring professionalism in all communications
  • Assist with personal assistant duties as needed or document preparation

Experience

  • Proven office experience with a strong background in administrative support roles
  • Familiarity with clerical tasks such as filing, data entry, and document proofreading
  • Experience working with multi-line phone systems and providing excellent phone etiquette
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Knowledge of QuickBooks for bookkeeping and basic financial management
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Personal assistant experience or office management background will be considered an asset
