Administrative Assistant

Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Assisting in front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Coordinate calendar management and schedule appointments for staff and executives efficiently
  • Handle clerical tasks such as filing, proofreading documents, and organizing office supplies to ensure operational excellence
  • Provide exceptional customer support by addressing inquiries promptly and professionally in person, via email, or over the phone
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
  • Support office management activities including organizing meetings, managing office logistics, and ensuring a tidy and welcoming environment

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent computer literacy including data entry, document proofreading, and file management
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Experience with multi-line phone systems and phone etiquette to handle inquiries professionally
  • Knowledge of bookkeeping practices using QuickBooks or similar software is a plus
  • Previous experience as a receptionist or medical/dental receptionist is advantageous
  • Personal assistant experience or office management background is beneficial for supporting executive needs
