Administrative Assistant

Duties

  • Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Handle scheduling and calendar management for executives or teams, ensuring appointments are organized and conflicts are minimized
  • Prepare correspondence, proofread documents for accuracy, and assist with filing and document organization to ensure easy retrieval
  • Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide customer service support by responding to inquiries via phone or email, ensuring positive interactions and timely resolutions

Skills

  • Proven experience with office management, clerical tasks, and administrative support in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to assist diverse clients and team members effectively
  • Experience with front desk operations, multi-line phone systems, and customer support
  • Knowledge of bookkeeping practices using QuickBooks or similar software is a plus
  • Exceptional phone etiquette combined with strong proofreading skills to ensure clear communication at all times
