Administrative Assistant at Kendall Hyundai

We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our dealership. The ideal candidate will have strong communication skills, a positive attitude, and the ability to multitask in a fast-paced environment. This role is critical in ensuring smooth administrative processes and excellent customer service.

Key Responsibilities:

  • Greet and assist customers and visitors in a professional and friendly manner
  • Answer and direct incoming phone calls, take messages, or route calls appropriately
  • Handle daily clerical and administrative tasks including filing, data entry, scanning, and document management
  • Assist with preparing sales and service paperwork, including vehicle purchase agreements, invoices, and title documentation
  • Maintain office supplies inventory and place orders as needed
  • Schedule appointments and maintain calendars for management or service departments
  • Support accounting functions such as processing payments, reconciling daily transactions, and preparing bank deposits
  • Coordinate with various departments (Sales, Service, Parts) to ensure smooth internal communication and operations
  • Maintain a clean and organized front desk and customer waiting area
  • Perform other duties and special projects as assigned by management

Qualifications:

  • High school diploma or equivalent required; Associate’s degree preferred
  • 1–2 years of administrative or office support experience, preferably in a dealership or similar environment
  • Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with dealership management systems (e.g., CDK, Reynolds & Reynolds) is a plus
  • Excellent organizational, time management, and multitasking skills
  • Strong interpersonal and communication skills
  • Professional appearance and demeanor
